Responsibilities
The Project Reporting Assistant works within the Program Department to provide reliable and relevant information to program activities to achieve efficient reports internally and externally.

The Project Reporting Assistant will play an essential role in the development of the communication of achievements and findings from projects. Under the supervision of the Project Manager, he/she will be responsible for producing quality reports and information for ZOA stakeholders.


Main Activities
General
•Ensure respect of the principle of confidentially and not disclose any information related to work;
•Make sure informed consent has been taken, and documented where needed, ensuring personal data protection;
•Attending external meetings, training sessions, workshops as requested from the line manager;
•Attend and take minutes of meetings, follow up on necessary action points and maintain records;
•Support in recording lessons learned and good practice case studies from reviews and evaluations and communicate them to the field team;
•Translate (English to Arabic and vice versa) some limited-in-size documents;

Reporting
•Contribute to the overall knowledge management, communications, and reporting strategy, ensuring the timely achievement of milestones outlined in the work plan, including weekly, monthly, quarterly, semi-annual, and annual targets;
•Continuously analyze and report on projects progress, facilitating project reviews and evaluations in coordination with the MEAL team;
•Screen and review regular sources of information and data required for preparation of reports, including information from partners, updates, studies surveys, statistics reports etc.;
•Maintain a close collaboration with the MEAL team, field and technical teams to ensure a smooth exchange of information;
•Create templates for internal and partners reporting;
•Assist in the creation and documentation of various projects related reports;
•Establish and maintain an efficient and up-to-date projects documentation;
•Ensure that the staff in the field provide all the collected data of the implemented activities on time for reports;
•Support the data management process, including collecting, analyzing, sharing, and archiving for strong reporting;
•Support the preparation of field survey reports and need assessment (KII, FGDs etc.) reports;
•Provide high-quality editing and formatting services for all projects related documents;
•Perform other related duties as required.

Social Media and Visibility
•Collaborate in the creation and execution of creative content for various communication channels;
•Assist in writing captions, content, and articles for ZOA social media platforms, and printed materials;
•Creating and providing basic design for projects printed materials and visibility;
•Taking photos during the field visits and archiving them to be used for ZOA’s reports, ZOA social media platforms and as proof of activities.

Trainings
•Guide ZOA staff and implementing partners on matters related to reporting and communications, including facilitation and training.
•Participate in the trainings of the technical team on the requirements of the donor reporting templates;
•Aid program staff in the planning and management of workshops and trainings;


Qualifications
Knowledge & Experience:
•Bachelor degree in Communication or Media sciences, Business Administration, English Literature or equivalent;
•One to two years of similar experience in an I/NGO;
•Experience in assessments and surveys;
•Excellent command of spoken and written English and Arabic languages;
•Competency in Microsoft Office Applications;
•Basic knowledge of Photoshop is a plus;
•Basic knowledge of taking photos is a plus;
•Understanding of the application of humanitarian standards in fieldwork;
•Understanding of gender issues.

Specific Vacancy Requirements
Regular travel to the field can be required.

Please note that ZOA have may not choose to appoint this position on completion of interviews if a suitable candidate is not found and / or if needs change and the position is no longer necessary.

Duration of Position: 6 months renewable subject to performance and funding, (first three months are probation period).
